Training Associate   

 

Location: The majority of the work location is In person, Stouffville office

Employment status: 20 hours a week (during business hours, schedule to be determined); including approximately 2 -3 evenings and 1-2 Saturday afternoons per month (weekly schedule will be accommodate around these needs)

About the Role

 

As the Training Associate, you will work with the training team to ensure that our training courses are delivered effectively and efficiently. You will ensure the smooth administration of assignments and practicum scheduling. Data entry is a critical part of this role. The ideal candidate will possess excellent customer service skills, attention to detail, and be able to work independently and as part of a team.

Role Requirements

  • Show pride and ownership in the vision of Plan to Protect® to create safe spaces for vulnerable people.
  • Demonstrate an ability to gain knowledge of our best practices of safeguarding and share them with clients.
  • Champion our services and resources.
  • Show proficiency in working with technologies such as Google Workspace, Microsoft Office, and Salesforce (or other CRM).
  • Able to adapt and quickly become proficient in new technologies.
  • Demonstrate strong English verbal and written communication skills.
  • High attention to detail and strong organizational skills.
  • Experience working in a fast-paced environment.
  • Minimum of 2 years experience in administration and customer service.
  • An understanding of the volunteer, not-for-profit and faith sectors is an asset.

 

Responsibilities

  • Provide administrative support to the Training department, including data entry, scheduling and booking events.
  • Provide customer service support by phone and email, and coordinate and oversee online certification students.
  • Schedule practicums and assist coaches.
  • Update SalesForce with course progression, grades and completion status.
  • Ensure certificates and letters of completion are sent out when students complete their course.
  • Send reminder postcards and emails out regarding expiring certification monthly.
  • Serve as second backup to the Registrar and to Tech Support for Webinars and training.
  • Maintain inventory for training materials, ensuring materials are professional, consistent and up to date.
  • Assemble training materials for onsite training.
  • Responds to questions from clients regarding training services that we offer.
  • Assist with website updates for the Training department, as needed.
  • Attend staff and team meetings.
  • Other duties as assigned.

 

Accountabilities

  • Meeting customer service standards.
  • 95% accuracy in data entry of learner engagement.
  • Providing WOW customer service and being available to team members.

 

Relationships

  • You report to the Director of Operations
  • You work as an integral part of the Training team.

Member Account Manager 

Employment status: Part Time (est. 20 hours per week), some weekend and evening work may be needed 

Location: Hybrid (the equivalence of one day per week in the Stouffville office)

About You

  • You are passionate about creating safe spaces for vulnerable people and have experience managing risks. 
  • Your experience gives you a strong understanding of managing churches and charities that work with vulnerable people.
  • You love connecting with people in various ways and asking questions is your preferred means of communication.
  • You can identify organizational needs and are comfortable recommending services that you believe will help your client.

About the Role

As a Membership Account Manager, you will support approximately 250 clients by answering questions, providing advice, and recommending additional Plan to Protect services that will benefit their organizations. This is a key role for providing excellent customer service and increasing sales.

Role Requirements

  • Exhibit pride and ownership in the vision of Plan to Protect of creating safe spaces for vulnerable people
  • Champion our services and resources
  • Strong verbal and written communication skills in English
  • Internal, solutions-based sales experience and a proven track record managing client relationships
  • Must become certified as a Plan to Protect® Administrator and Trainer. (Ideally you will already be certified)
  • 5 years or more of experience managing risk and working in vulnerable persons setting
  • Proven ability to provide coaching and share wisdom, and be able to say hard things when necessary 
  • Experience in a fast-paced environment
  • Exhibits calm and reasonableness when pressure and crises situations arise
  • Act with sensitivity and integrity to safeguard all highly sensitive and confidential information associated with this role
  • Experience with Microsoft Office and Salesforce (or other CRM systems)

Role Responsibilities 

  • Manage relationships with approximately 250 clients, providing coaching regarding risk management and safeguarding, and recommending practical solutions 
  • Engage with clients proactively and responsively through phone and email
  • Meet targets for membership retention, solution-based sales of additional services, and number of client connections (recommending services to clients that will make their organizations stronger ie regarding certification, training, policy writing, audits, screening
  • Assist with customizing, reviewing, and updating policies
  • Stay current on new product lines, safeguarding best practices, and sales techniques
  • Maintain customer profiles in Salesforce  
  • Provide coaching feedback to members who are new to training (this requires certification as a Plan to Protect® Administrator and Trainer)
  • Mark policy assignments 
  • Submit monthly reports
  • Other duties as required

Accountabilities

  • Maintain a 90% retention rate with your clients
  • Meet sales target of $6,000 per month (includes membership renewals)
  • Achieve 125 customer touch points a month

Reports to:Program Lead - Account Manager or Chief Information Officer
